Overview

Williamson County Parks Department (the "Department") has the authority to make park grounds and facilities available to third parties for commercial activities not sponsored or conducted by Williamson County. This authority is outlined in the Commercial Use Policy (PDF).

These business arrangements typically occur in three different manners:

Leased Concession

  • Such arrangements are typically initiated by the Department when in search of a particular service or activity provider.
    • For example, at the Southwest Williamson County Regional Park, the Tennis Center is operated by a third-party provider (concessionaire) that the Department solicited and selected through a Request for Proposal (RFP) process. The Tennis Center concessionaire, through a multi-year agreement, is then responsible to staff and operate that facility and associated tennis-related activities at a standard identified in the RFP. In exchange for providing this service to park users, the concessionaire retains a % of fees/revenues generated from the leased concession venture.

Commercial Use

  • Such arrangements are typically initiated by a third-party, seeking to use park grounds or facilities to conduct a commercial activity.
    • For example, a personal trainer or fitness instructor desires to lead a fitness class on park property. Through a commercial use agreement, the trainer is then allowed to conduct training sessions at an agreed-upon park location(s), date(s), and time(s) and in turn, pays the Department a fee or % of gross revenue for the opportunity.
    • For example, a photography business desires to use the park for photo sessions with clients. Through a commercial use agreement, the photographer is then allowed to conduct photo sessions at agreed-upon park location(s), date(s), time(s) and in turn, pays the Department a fee or % of gross revenue for the opportunity.

Concession Permit

  • Such arrangements are typically initiated by a third-party, seeking to use park grounds or facilities to provide a temporary service.
    • For example, a soccer league is hosting a weekend tournament and wishes to operate the on-site concession stand to sell food, drinks and wares. For a nominal fee, proof of insurance and health permit, the Department issues the soccer league a temporary permit in exchange for this short-term opportunity. All concession sale proceeds remain with the soccer league.
    • For example, a softball league is hosting a weekend tournament and wishes to have a food truck on-site to sell food and drinks to attendees. For a nominal fee, proof of insurance and health permit, the Department issues the food truck vendor a temporary permit in exchange for this opportunity. All food and drink sales remain with the food truck vendor.

Media Production Guidelines

It is recognized that many places, features, and facilities located in the various Williamson County Parks make for desirable media related productions. If you are interested in conducting a media production project at a Williamson County Park location, please first review the Media Production Guidelines (PDF), which will then guide you through the application process.

The Authorized Use Agreement (PDF) will require Commissioners Court approval prior to any media productions.
